Membership Terms & Conditions

At Kids Soccer Academy, we strive to provide the best soccer training experience for children of all skill levels. We understand that circumstances may change, and we have established the following refund policy to ensure clarity and fairness for all members.

At Kids Soccer Academy (KSA), we are committed to providing a positive, consistent, and high-quality experience for every child and family. To maintain fairness, class availability, and efficient operations, the following policies apply to all memberships.

1. Membership Billing & Automatic Renewal

• Membership tuition is automatically billed every four (4) weeks from the member's original billing date.

• Memberships automatically renew every four weeks until properly canceled.

• Membership fees are charged regardless of attendance or the number of class credits used.

• Class credits are assigned exclusively to the individual child registered under each membership.

• Members are responsible for maintaining a valid payment method and keeping their account in good standing.

2. Membership Cancellation Policy

All membership cancellations require written notice.

To cancel your membership, please email your cancellation request to:

Please include "Cancel Request" in the email subject line, along with your child's full name.

Once we receive your written cancellation request, your membership will officially end 30 days from your next scheduled billing date, subject to any cancellation rights required by applicable law.

During this cancellation period:

• Your child will continue to have full access to membership benefits and available classes.

• Membership billing will continue as scheduled through the final required billing period.

• No refunds, prorated refunds, or partial credits will be issued for unused membership time or classes, except where required by law.

• All remaining class credits and makeup sessions must be used before your membership officially ends.

• Any unused credits or makeup sessions remaining after the membership termination date will automatically expire and be forfeited.

• Unused credits cannot be transferred, extended, refunded, or applied to another membership.

Failure to attend classes, use membership credits, or book sessions does not constitute cancellation.

3. Membership Credits & Non-Transferability

All membership credits are strictly non-transferable and may only be used by the individual child to whom the membership is assigned.

• Credits cannot be transferred, shared, gifted, sold, or reassigned to another member, sibling, parent, or family member.

• Each child's membership and associated credits are separate, even when multiple children are registered under the same family account.

• Membership credits are only valid and redeemable while the assigned child has an active, paid membership with Kids Soccer Academy.

• Credits cannot be redeemed independently of an active membership or used after membership termination.

• Credits cannot be combined with another child's membership or applied toward another person's tuition, registration fees, or services.

• All unused credits expire upon membership termination, except where otherwise required by law.

• Membership credits have no cash value and cannot be exchanged for cash or refunded, except where required by law.

Membership credits are a benefit of an active membership and do not represent cash, stored monetary value, or a transferable entitlement to future services.

4. Missed Classes, Makeup Sessions & Attendance

Kids Soccer Academy understands that occasional absences are unavoidable. However, membership fees are based on the selected membership package rather than actual attendance.

• No refunds or additional credits are provided for missed classes, vacations, illness, absences, or scheduling conflicts.

• Members are responsible for booking and managing classes through the Kids Soccer Academy app.

• All classes must be booked in advance and are subject to availability.

• Makeup sessions may be offered based on class availability but are not guaranteed.

• All makeup sessions and remaining credits must be redeemed before the membership termination date.

• Makeup sessions cannot be transferred to another child, exchanged for cash, or used after cancellation becomes effective.

• Unused makeup sessions are forfeited once membership ends.

Members are strongly encouraged to book classes in advance to secure their preferred days and times.

5. Payment & Refund Policy

All membership tuition, registration fees, uniform fees, and trial fees are non-refundable once paid, except where required by law.

• Tuition is billed automatically every four weeks.

• No refunds or prorated credits are issued for missed classes, unused credits, vacations, illness, or scheduling conflicts, except where legally required.

• Members are responsible for maintaining accurate payment information.

• Kids Soccer Academy may suspend booking privileges or participation for accounts with outstanding balances until payment is resolved.

Payment Processing & Additional Fees

• A 3.5% processing fee applies to Visa, Mastercard, and Discover payments.

• A $35 fee applies to failed, declined, or returned payments.

• Additional late fees may apply to overdue balances, as permitted by law.

• Accepted payment methods include credit/debit cards, ACH/direct debit, and cash.

All applicable processing fees will be disclosed before payment is completed.

6. Membership Freezes & Temporary Holds

Members who need to temporarily pause their membership may request a membership freeze, subject to management approval.

• Approved membership freezes are subject to a $15 fee every four weeks. The freeze fee is charged in full at the time your membership is frozen.

• During the freeze period, class booking privileges and regular credit usage are suspended.

• Freezing a membership allows members to maintain their membership status without completing the standard re-registration process.

• Members who cancel instead of freezing may be required to pay a new registration fee upon returning.

• A membership freeze does not constitute a cancellation.

All freeze requests must be approved in advance.

7. Facility Closures & Schedule Changes

Kids Soccer Academy reserves the right to adjust class schedules, instructors, class sizes, program offerings, and facility operations when necessary.

Closures resulting from severe weather, emergencies, maintenance, staffing issues, or other unforeseen circumstances generally do not qualify for refunds.

Whenever possible, alternative classes or makeup opportunities may be offered at Kids Soccer Academy's discretion, subject to availability and applicable law.

8. Private Training Sessions

• Private training sessions require payment in advance.

• A minimum of 24 hours' notice is required to cancel or reschedule a private session for credit eligibility.

• Cancellations made with less than 24 hours' notice and no-shows are non-refundable and may result in forfeiture of the session.

• Approved private training credits are non-transferable and cannot be exchanged for cash.

9. Re-Enrollment After Cancellation

Members who cancel and later wish to return to Kids Soccer Academy will be treated as new enrollments.

• Re-enrollment is subject to current membership pricing, class availability, and applicable registration fees.

• Previously unused or forfeited credits cannot be reinstated or applied toward a new membership.

• Previous promotional pricing, discounted rates, and grandfathered membership rates are not guaranteed upon re-enrollment.

10. Policy Acknowledgment & Agreement

By enrolling in a Kids Soccer Academy membership, the parent or legal guardian acknowledges and agrees to the membership billing schedule, cancellation requirements, credit usage restrictions, payment terms, and refund policies outlined above, subject to applicable law.

Kids Soccer Academy reserves the right to modify these policies as necessary, with notice of material changes as required by law.

Any exceptions must be approved in writing by Kids Soccer Academy management.
